We’re Hiring: Administrative Coordinator

Cookson Communications is a Manchester, New Hampshire-based communications agency specializing in public relations, marketing, creative design and branding, and custom consulting services. We are a team-oriented company that helps our clients address opportunities and solve problems in creative and strategic ways.

We are seeking an administrative coordinator to join our agency and support our team and diverse client work. This position is flexible and can be part-time (roughly 24 hours a week) or full-time. This individual plays a key role in ensuring that our back-office functions run smoothly and efficiently, our staff receive core administrative support when needed, and systems are in place to properly track the resources we invest in serving our clients at the highest possible capacity. While there will be some opportunities to work remotely, this position by its nature requires a regular in-person presence.

Responsibilities

  • Staff the front end of the office and undertake daily administrative tasks to support the team and address core operational needs
  • Support accounts payable processing and coding for monthly invoicing and track time and expenses to ensure timely and accurate billing
  • Update and oversee time-tracking software and run reports as needed
  • Assist the team by addressing additional key administrative functions around back-end client services
  • Monitor general company e-mail inboxes and phone inquiries
  • Organize digital files on the central office server
  • Handle office vendors, manage office supplies and equipment and fulfill basic ordering needs for staff and office operations
  • Coordinate staff requests for printing, merchandise, displays and related materials and manage shipping and delivery
  • Oversee service, software and other subscriptions and renewals
  • Support any onsite visits, events and functions
  • Provide additional administrative support as needed to the CEO and senior management team

 

Requirements and skills

  • Strong communications and interpersonal skills with teams and colleagues
  • Good understanding of office management operations and functions
  • Demonstrable ability to multi-task and adhere to deadlines
  • Well-organized with a customer-oriented approach
  • Solid financial acumen and ability to create and interpret spreadsheets and reports
  • Strong working knowledge of core MS Office software and other software tools
  • Experience in a professional office setting
